Search improvements: part I

This is the first release of some search improvements we are working on. Inspired by the ideas of @fadouae Send CV from search and @sdejonge Usability search, both from the Dutch community. We are working on more search improvements, and are expecting a part II and even III. What we will implement in those will depend on other community ideas. Status at this moment is that both on the English and the Dutch community more search is on Nr. 1, so it is looking very good for further search improvements.

First of all we changed the list of available fields to search on, to only the fields that are marked as used in the setup. This together with fields every customer has mandatory, like registration date and last modification date, which cannot be turned off.

Secondly, we have aligned the search result screen to have the same options like the "applications" tab:

You are probably familiair with those options: select all/none/all on this page. Filter on status, location, flags, match %, etc. And perform additional tasks like send by mail to contacts, print, etc. All options you are familiair with from the "applications" tab for a vacancy.

Allow candidates to change password

This is an idea of @sdejonge on the Dutch community Change password candidateportal we now have implemented.

This only applies to customers that use the candidateportal that requires candidates to login with an account and a password.

When the account details are send to the candidate, a password is generated for them. In the setup of the candidate portal, you can simply check or uncheck the option that will allow candidates to choose another password:

Your normal password policy restricting the length and other characteristics of the password will also apply here.

Preserve comments

Based on the idea of @Mira on the Dutch community task comments go lost we made a change that ensure all comments on tasks are preserved.

When a manager would give feedback on a candidate, any previous comment by the recruiter send to the manager in a notification, would get overwritten:

We changed this, so that any comment of the manager entered in the above example would just be concatenated to the former comment of the recruiter in the notification. Ensuring a full history of all comments.

Preview advertisement for manager

Also for managers there now is a preview option, where they can validate the advertisement text will turn out properly before it is placed on the website(s). Based on an idea by @tbo View vacacy example from managersportal.

The "preview" option is available on the overview with all vacancies for the manager:

If the manager clicks on the preview option a list will be shown with the available portals. For each portal he/she can now check how the advertisement will look like.

To activate this option in your managersportal, just add a label translation for the "preview" option in Setup - portals - labels.

Notify recruiter on manager feedback

Based on @chusersg idea Notification when manager gives feedback into the form (for other contacts) we added the notification option for manager's response forms.

This will only apply for customers that use the response form option in stead of the status update option on the managersportal.

No additional setup is required as it is managed through the notification option on workflow locations.

If you normally do not receive notifications, but you would like to receive only these new type of notifications, then you must change your workflow setup. A new location has to be added that responses of managers will go to, and which will have the notifications attached.

Browsing candidates

We added some features making it more easy to browse through candidates that resulted from a search or have applications with the same vacancy. Based on the ideas from @graafeiland Back to search results and from @keiza Scroll through CV's on the Dutch community.

It is quite simple, as soon as you open a candidate from a search result list or from the "applications" tab of a vacancy, the browse option appears on top of the screen, just below the CV of the candidate:

As you can see there is a link to return to the vacancy or the result list. And there is also a previous and next option, allowing you to browse.

The list you browse through reflects the choices you made in search or on the applications tab. Meaning, that if you have used additional search criteria in the applications tab, you will browse through the list that resulted from that additional search.

Revisited: managing tasks of subsidiaries

We decided to revisit the improvement in the last release on managing tasks and notifications of subsidiaries. Next to a follow up idea posted by @marjanverwij on the Dutch community, our helpdesk also received a number of calls in line with that idea.

This is was what we originally changed/improved:

"We made it easier to distinguish between tasks and notifications for a manager's own department and his/her subsidiary departments. The task list now only shows the tasks related to applications in the manager's own department:

By clicking the "all tasks" option, also tasks related to subsidiary departments are shown:"

What was annoying in the way this worked, was that usually a manager or assistent who would need the all tasks option to be checked on, would always need it to be checked on. But with every visit to the screen it would be turned off, so they would have to reset the filter each time manually.

What we changed now is that the last choice for the all task filter is remembered, so there is no need anymore to repeat turning it off or on all the time.

Quickly merge duplicates

You are probably familiair with the duplicate alert. When a candidate has send in multiple double applications the duplicate alert goes off. You then have to check the possible duplicates, and return to the "find duplicates" function if any candidates need to be merged. With thanks to @Riem and her idea on merging that has inspired to how we have improved the alert and subsequent merging.

To make it more easy recognizable that it concerns a candidate that has send multiple applications and it not concerns a candidate that after a while returns to your website and applies for another interesting job, the registration date is added to the alert:

This will give you a clear indication of possible duplicate applications. Note also that the merge option is now also available directly as part of the alert. This way you don't have to continue to the "find duplicates" function. You can merge directly from the alert.

When you chose merge, you go directly to the regular merge function. Here any differences between both copies of the candidate are listed and you can resolve conflicts:

After you have resolved the conflicts, you return to the merged candidate. The duplicate alert will fire again (before it was only shown once) and depending of how many copies you have of the candidate, you can repeat the process.

Button to share on social media

Creating a button to share your vacancies with social media was already available but has now been made very easy to setup. Based on the idea of @viran on the Dutch community: Forward vacancies through portal.

You probably have seen this button before on blogs and popular websites:

The button allows visitors to share the page with other people within their social networks. The above example shows a link to some of the most popular networks, Facebook, Hyves, LinkedIn and Twitter. There are more networks available in setup from which you can choose the networks you would like to offer.

In the setup of the portal you will find a new "Social media" option:

Here you find a long list with available social networks. Next to the most popular, there are also networks listed with a more local presence. Like Hyves in the Netherlands:

Just check/uncheck the social media you would like to use and press "save". A share button is now created like in the above example with options for all the networks you have selected. The button is made visible on the top of each vacancy on your vacancy portal and your website visitors can start sharing right away.

Change ownership

An option is added enabling you to easy change ownership on tasks, candidates, vacancies, etc. When a HR employee would leave your organisation or moves to another team or division in the organisation you can move all their tasks, candidates to a new owner. Either the new employee or an employee that will take over the tasks of the leaving employee.

The new option is available at the central task list and with all the list overviews. At the central tasklist the option is first visible when you have applied a filter option.

When you chose the new option "move to owner" you can chose to which new owner you would like to move the data:

Depending on the amount of data that has to be moved there can go several minutes before the move is completed. You can use standard peoplexs filters to make an exact list of which data you want to move.
